The PROMIS team is preparing for the next PROMIS release (4.21.1) scheduled for the evening of Wednesday, November 13th, with an outage starting at 21:00 for approximately 90 minutes.
The primary focus of this release is to add new and revised transplant-related data collection to PROMIS. These updates are in support of the Canadian Institute for Health Information (CIHI) Pan-Canadian Organ Donation and Transplantation (ODT) Data and Performance Reporting System Project. Since 2023, this initiative has been a collaboration between B.C. health authorities, the Ministry of Health, BC Transplant (BCT), Canada Health Infoway, and the Canadian Institute for Health Information (CIHI). Once implemented, this project will result in a national repository of transplant patient data that will support better decision-making, research, and policy development for these patients across Canada. More information on this national project can be found here.
What’s Changing?

Most of the relevant PROMIS updates are confined to changes to PROMIS Classic, with only minor impact to PROMIS 4 at this time. A summary of the updates to PROMIS can be viewed here.
Project Background
Previously, CIHI engaged with each of organ program leads to represent the province in the requirements finalization to identify the Minimum Data Set (MDS) to be collected for deceased donors, living donors, and transplant recipients within the national ODT patient database.
Since November 2023, the BC Transplant (BCT) project team has worked with the teams from the source systems, the organ groups, clinical informatics and data analytics teams to review each of the 280 MDS elements and:
- Identify the source system (i.e. CST Cerner, PROMIS, and other registries) for each data element.
- Meet with clinicians/care teams to determine solutions on how data gaps will be addressed in each system.
- Build a custom report to pull this data from each system for submission to CIHI.
- Prepare a submission file as per specifications from CIHI team
- Securely transmit the data to the national CanODT database
Currently, approximately 75% of these MDS data elements will be collected for B.C. via this custom report.
Towards the Future
CIHI is working on the development of a Secure (Private) Comparative Reporting tool with restricted-access for data providers and provinces to show aggregated results and comparative data to support best practices and performance improvement.
After implementation, BCT will continue to work with this project’s stakeholders to optimize B.C.’s transplant data reporting in a manner that is the least onerous for our medical teams. In addition, transplant clinicians and program leaders will be able to request access to this database directly from CIHI.
More information regarding this request process will become available from CIHI after this database has been implemented. For any immediate questions, please reach out to CIHI at odt@cihi.ca for more information.
